01AI transformation · main practice in 2026

AI transformationfor your company.

Marketing MIX, an international studio founded in Kyiv in 2014 and headquartered in Ottawa since 2024, helps companies move routine work to AI agents. We start with the processes that cost you the most time, prove the result on one of them, then roll it out across the team.

02How it goes

Four steps, one process at a time.

  1. 01Map

Find where AI pays off first

We go through the work with the owner and the team: who does what, how long it takes, where mistakes cost money. You get a short written list of processes to hand to agents and of those that should stay with people.

    A written map with priorities

  2. 02Pilot

Automate one process end to end

We take the process with the clearest payback and build an agent for it on your data and in your tools. The team uses it on real work, and we compare time and errors with the old way.

    A working agent and a before-and-after comparison

  3. 03Rollout

    Connect agents to your systems

Agents are connected to your CRM, mail, documents and messengers. Access follows your roles. Each person learns which tasks they now hand off and which checks they keep.

  4. 04Support

Keep quality, cost and data under control

We watch answer quality, model costs and data access, update agents when your processes change, and take the next process from the map.

A monthly report and the next step

03Where AI helps first

Tasks we usually start with.

  • Incoming enquiries

What the agent doesReads every request from the site, mail and messengers, answers the first questions right away and creates a CRM card with the details.

What stays with peopleCalls with qualified clients, pricing

  • Sales follow-up

What the agent doesReminds about open deals and drafts follow-up letters and proposals from your templates.

What stays with peopleNegotiation and the final offer

  • Documents

What the agent doesExtracts data from contracts, invoices and tender packages, checks it against your rules and flags deviations.

What stays with peopleSignature and legal responsibility

  • Customer support

What the agent doesAnswers typical questions from your knowledge base in several languages and passes complex cases to a person with the full history.

What stays with peopleComplaints, exceptions, refunds

  • Reports and finance

What the agent doesCollects numbers from accounting, the CRM and ad accounts into one weekly report and explains the changes in plain words.

    What stays with peopleBudget decisions

  • Marketing and search

What the agent doesPrepares content, keeps the site current and tracks how the company appears in Google and in AI answers.

What stays with peopleBrand voice and final approval

  • Company knowledge

What the agent doesAnswers staff questions from your own documents and chats, within each person's access rights.

What stays with peopleKeeping the sources current

04Proof

We run our own companies this way.

Enquiries, work chats, reports, purchases and the festival CRM in our group are handled by agents we built, and our own orchestrator coordinates the studio's daily operations. Five of these systems are described step by step on a separate page.

05Rules we keep

Four rules on every project.

  • 01

    Your data stays with you

Agents work in your accounts and, where possible, on your infrastructure. Every connection and access key is documented and handed over to you.

  • 02

    A person approves what matters

Payments, contracts, letters to clients and any irreversible step wait for human confirmation. The agent prepares, a person decides.

  • 03

    Measured before it scales

Each pilot has a baseline: time per task, error rate, cost. We move to the next process when the numbers show the gain.

  • 04

    The team learns the method

Practical sessions on your own tasks for owners, managers and staff. The team keeps the prompts, checklists and instructions after the project.

06Questions

What does AI transformation mean for a small or mid-sized company?

It is the step-by-step transfer of routine work to AI agents: answering enquiries, processing documents, preparing reports, drafting letters. Each process moves separately, is tested on real work and measured before the next one starts.

Where do we start?

With a conversation about your business and a map of your processes. The first paid step can be a 30-minute strategy session for €100. The map, pilot and rollout are quoted in writing once the scope is clear.

Do we need our own developers?

Your own developers are optional. We build and connect the agents and train your team to use and check them. If you have an IT team, we work with it and hand over the documentation.

Which AI models and tools do you use?

We choose per task: models from Anthropic, OpenAI and Google, open models that run on your own servers, and the automation tools you already pay for. The choice depends on data sensitivity, cost and quality on your tasks.

How do you protect our data?

Agents get the minimum access they need, keys stay in your accounts, sensitive data can be processed by models on your own infrastructure, and every action is logged. Important actions wait for a person's approval.

Do you work outside Canada?

Yes. The studio is headquartered in Ottawa and works across Canada, Ukraine, Germany and France.

Tell us which work your team still does by hand.
